1. Who We Are

CallPrompter is operated by Matthias Carigiet, based in Zürich, Switzerland. This privacy policy applies to the CallPrompter desktop application (macOS and Windows), the CallPrompter Chrome extension, and the website at callprompter.app.

2. What Data We Collect

2.1 Account Data

When you create a CallPrompter account, we collect:

  • Email address

  • Name

  • Password (stored hashed, never in plain text)

  • Billing information (processed by Stripe; we do not store credit card numbers)

2.2 Customer Records

You may create customer records within CallPrompter containing names, company names, email addresses, phone numbers, and notes. This data is entered by you and stored to support your sales workflows.

2.3 Call Data

When you use CallPrompter during a live call or AI practice session, we process:

  • Audio transcriptions of your calls (captured from system audio with your explicit consent)

  • Conversation analysis results (script position, objection detection, coaching signals)

  • Session metadata (duration, timestamps, script used)

Audio is transcribed in real time and is not stored as audio files. Only the resulting text transcriptions and analysis data are retained.

2.4 Chrome Extension Data

The CallPrompter Chrome extension extracts contact information (name, company, role, location) from supported pages (LinkedIn, Salesforce, HubSpot, Pipedrive). This data is passed locally to the CallPrompter desktop application via a deep link. The Chrome extension does not transmit any extracted data to our servers or any third party.

2.5 Usage Data

We collect basic usage analytics to improve the product, including feature usage patterns, session frequency, and error reports. We do not track your browsing activity outside of CallPrompter.

3. How We Use Your Data

We use your data to:

  • Provide real-time coaching during your sales calls

  • Generate and display relevant prompts, objection responses, and coaching signals

  • Store your scripts, customer records, and call history

  • Process payments and manage your subscription

  • Improve our product and fix issues

  • Communicate with you about your account and product updates

We do not sell your data. We do not use your data for advertising.

4. Third-Party Services

We use the following third-party services to operate CallPrompter:

Infomaniak provides hosting and database services. All stored data resides on their infrastructure in Switzerland.

ElevenLabs provides real-time transcription and AI practice functionality. Audio chunks are sent via one-time API keys for processing. ElevenLabs is based in the USA.

Anthropic (Claude API) provides conversation analysis and coaching. Anonymized transcript excerpts are sent for processing. Anthropic is based in the USA.

Google (Gemini API) provides semantic matching for script position tracking. Anonymized text embeddings are sent for processing. Google is based in the USA.

Stripe handles payment processing. Billing details are shared with Stripe for subscription management. Stripe is based in the USA.

Before any transcript data is sent to AI providers (Anthropic, Google, ElevenLabs), customer-identifying information is anonymized. Names, company names, and other personal identifiers are removed or replaced before processing.

5. Where Your Data Is Stored

All primary data (account information, customer records, scripts, call transcripts, and analysis results) is stored on servers in Switzerland, hosted by Infomaniak. This ensures compliance with Swiss data protection standards.

Transcript data sent to third-party AI services for real-time processing is transmitted securely and is not retained by those services beyond the duration of the API request, in accordance with their respective data processing agreements.

6. Data Retention

Account data is retained for as long as your account is active. Call transcripts and analysis are retained for as long as your account is active, unless you delete them earlier. Customer records are retained until you delete them. When you delete your account, all associated data is permanently deleted within 30 days.

7. Your Rights

Under the Swiss Federal Act on Data Protection (FADP/DSG) and the EU General Data Protection Regulation (GDPR), you have the right to:

  • Access your personal data

  • Correct inaccurate data

  • Delete your data ("right to be forgotten")

  • Export your data in a portable format

  • Withdraw consent for data processing at any time

  • Object to processing of your data

8. Consent for Audio Transcription

CallPrompter requires explicit consent before capturing or transcribing any audio. On first use, you are presented with a consent prompt. A visual indicator is displayed whenever transcription is active. You can stop transcription at any time.

9. Security

We take reasonable measures to protect your data, including:

  • Encrypted data transmission (TLS/HTTPS)

  • Hashed passwords

  • One-time API keys for client-side transcription (no persistent third-party credentials stored on your device)

  • Role-based access controls for team features

10. Children

CallPrompter is not intended for use by anyone under the age of 16. We do not knowingly collect data from children.

11. Changes to This Policy

We may update this privacy policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify you by email.
